Plain English summary
We collect the minimum data needed to run the service. We never sell your data. We never use it for advertising. Players have no accounts and leave no trace. Venues control their own data.
Information We Collect
From Players
Players do not create accounts. The only information collected during a game is:
- A display name chosen by the player (does not need to be a real name)
- In-game answers and scores (held in server memory during the session only)
This information is deleted when the game room closes. It is never stored in a database, never linked to a device or person, and never used for any purpose outside the game session.
From Venue Accounts
- Business name and venue type
- Contact name and business email
- Contact phone number (optional)
- City and postcode
- Game session history (anonymised statistics)
How We Use Information
- To provide the Epicly service to your venue
- To send account and billing communications
- To improve the platform based on usage patterns
- To respond to support requests
We do not use your data for advertising. We do not sell or share your data with third parties for marketing purposes.
Cookies & Tracking
Epicly uses no third-party tracking cookies, no advertising pixels and no analytics SDKs. We use a single session token to keep venue accounts logged in. That's it.
No surveillance
We do not track what players do on their phones between games. We do not build profiles. We do not know who your guests are and we do not want to.
Data Sharing
We share data only with the infrastructure providers necessary to run the service:
- Railway — server and database hosting
- Netlify — frontend hosting
- Anthropic — AI question generation (no personal data shared)
- Resend — transactional email (venue emails only)
None of these providers receive player data. None of them are permitted to use venue data for their own purposes.
Data Retention
- Player session data: deleted when game room closes (minutes)
- Venue account data: kept while account is active
- After account deletion: permanently deleted within 30 days
- Anonymised usage statistics: retained indefinitely for service improvement
Your Rights
Under UK GDPR you have the right to access, correct, delete or export your personal data. Contact us at privacy@epicly.live and we will respond within 30 days.
Changes to This Policy
If we make significant changes to this policy we will notify venue account holders by email and update the date at the top of this page.
